Scouts, Leaders and Parents of Troop 42,

We are writing to inform you of a new policy which the troop has adopted with respect to camping permission slips.  The deadlines below are required for the troop to Be Prepared; to enable proper planning for equipment, food, and transportation for camping trips.

Two meetings before the camping trip

  • a scout must notify his patrol leader whether or not he is going on the trip

  • permission slips are due to be handed in to the Outdoor Coordinator

  • patrol leaders must list who in their patrol will be going on the trip and hand this information in to the Senior Patrol Leader in writing,

  • the Senior Patrol Leader shall inform the Outdoor Coordinator, in writing, which boys in the troop will be going on the camping trip, and

  • leaders and parents should use their best efforts to notify the Outdoor Coordinator if they are going on the camping trip.

One meeting before the camping trip

  • late permission slips must be handed in to the Outdoor CoordinatorThe transportation plan will only include those boys who have handed in a permission slip one week before the meeting.

If a scout has not handed in a permission slip by the meeting before the camping trip, he shall not be permitted to attend the trip unless:

  • His parent agrees to drive him to and from the trip (since he was not included in the transportation plan); AND

  • His patrol leader and the troop quartermaster certifies to the outdoor coordinator that:

  • There is tent space available for the scout in the tent(s) the patrol has already ordered;  AND

  • Food has been purchased for the scout); AND

  • He has provided a completed and signed permission slip to the outdoor coordinator before departure time.

A scout who shows up when the troop is gathering to leave for camp without prior notice to the Outdoor Coordinator will not be permitted to attend the trip.
